Terms and conditions of the Thame Town Music Festival 2019 Photography Competition

1 About the Competition

1.1 The TTMF Photographic Competition is owned and run by Thame Town Music Festival.
1.2 The competition is a free to enter competition aimed at music lovers and photographers
1.3 The aim of the competition is to promote high quality and dynamic photography showing the spirit and ethos of TTMF
1.4 The TTMF Photographic Competition is free to enter.
1.5 Images may be of musicians, audience members, volunteers, stall holders or anything which encapsulates the feel of the festival. All images must have been taken at TTMF 2018.

2 Dates

2.1 Competition opens for entries on 12 noon, Thursday 4th April 2019.
2.2 The deadline for the entries is 10am, Thursday 2nd May 2019.
2.3· The 5 Winners will be notified by Email and their pictures exhibited at the TTMF Photography Exhibition Thursday 13th June – Saturday 15th June 2019.

3 Conditions of Entry

3.1 All entries must be submitted by Email to steveg@thametownmusicfestival.org
3.2 Entrants are permitted to enter a maximum of three images to the competition. If TTMF deems the entrant has exceeded the image entry limit, through multiple accounts or by any other means, TTMF may disqualify the entrant from the competition.
3.3 Entries must be submitted digitally. Scanned negatives are accepted but must meet the criteria of digital image file requirements.
3.4 Image entry file size must not exceed 1MB, and should be at least 1280 pixels on the longest length. Images should be in jpg format saved as high quality with an embedded sRGB colour profile.
3.5 It would be helpful if files could be renamed with the entrant’s name and a number eg BloggsJ01.jpg. Please take care not to overwrite the existing file when resizing your image.
3.6 A high-resolution image with a minimum of 6MB, preferably over 10MB, will be requested if entries are shortlisted and entrants may be disqualified at the judge’s discretion if high resolution images are not provided when requested.
3.7 Images must be submitted by 10am, 2nd May 2019.
3.8 Images must not include watermarks, borders, or signatures.
3.9 Black and white images are eligible.

4 Eligibility

4.1 The TTMF Photographic Competition is open to all photographers. Images taken with mobile phones are eligible but they must meet the minimum high-resolution requirements
4.2 The entrant must be the original artwork creator and solely hold the copyright.
4.3 It is the entrant’s responsibility to ensure that all necessary permissions are obtained from any person featured in a photograph.

5 Ethics

5.1 Digital adjustments that maintain the integrity of the image are allowed.
5.2 Accepted digital adjustments include dodging and burning, changes to tone and contrast and cropping.
5.3 TTMF may request the RAW file(s) or original camera jpeg(s) for any shortlisted image, if it deems that image does not follow the restrictions on digital manipulation and reserves the right to disqualify any image that it feel lacks authenticity.

6 Judging

6.1 A panel of judges will be appointed by TTMF to judge a shortlist of entries.
6.2 The competition judges will then choose from the selected shortlisted entries, to select five winners.
6.3 The judges reserve the right not to make any award if, in their opinion, none of the entries meet the required standard.
6.4 The decision of the judges is final and no correspondence will be entered into.

7 Shortlist

7.1 Shortlisted entrants will be contacted by TTMF to send a high-resolution copy of the image in.
7.2 The high-resolution image must be over 6MB.
7.3 This must be sent by the requested date – failure to do so may result in removal from the shortlist.

8 Winners

8.1 The five best photographs will be exhibited at the TTMF Photography Exhibition.
8.2 All winners will be notified by email. The winners and a family member will be invited to the opening private viewing on Thursday 13th June 2019

9 Copyright and Usage

9.1 Entrants remain the copyright holder to any images submitted by themselves.
9.2 The winning entrants agree to grant TTMF Photographic Competition and its partners and sponsors to a nonexclusive irrevocable licence to reproduce, enlarge, publish and exhibit for any purpose related to the competition in any medium, including print and digital.
9.3 This includes, but is not restricted to; exhibiting, use in press and on websites.

The TTMF and its partners and sponsors will not use awarded entries outside the scope of the photographic competition. ·

9.4 The entrants agree to TTMF free usage sublicensing the shortlisted images for press articles or any other external communications related to the competition.
9.5 After the winners have been announced entries will be deleted, apart from those that have been shortlisted.
9.6 The TTMF Photographic Competition will try to ensure the photographers will be credited on all mediums, but in the event of inadvertent omission of the credit, the photographer agrees that TTMF are not to be liable.
9.7 The entrant is responsible for any claim made by a third party against the submission.

10 Disclaimer

10.1 The information given in these Terms & Conditions is correct, but TTMF reserves the right to change any of it without prior notice. By entering the competition, entrants will be deemed to have agreed to be bound by these Terms & Conditions. Any breach of these Terms by an entrant will void their entry.·

11 Data protection

11.1 In entering the TTMFS Photographic Competition, you agree to TTMF using your details to process your application, only.
11.2 By entering, you also agree that if selected as a winner TTMF may share your details with any potential future sponsor for the purpose of publishing the details of all winners (including the winning images), only.
